An AI receptionist for a small business answers the first contact, by phone, WhatsApp or website chat, and handles the routine part: opening hours, prices you have already published, taking a message, booking a slot. It does not handle judgement calls or upset people, and a good one hands those to a person quickly.
If you miss calls because you are with a customer, on a site visit or simply asleep, that is the gap it fills. If your phone is always answered by someone who knows the business, you probably do not need one yet.
This guide is for owners of small service businesses who are deciding whether to try one. It covers what it can do, what you should keep, which channel to start with and how to test it before customers ever reach it. If you run a clinic, read our clinic-specific guide as well, because health work has extra rules.
What can an AI receptionist actually do?
It does a short list of jobs well, as long as the answers already exist in writing. Our AI receptionist service is built around the same list:
- Answer every call or message with your greeting, day or night
- Answer plain questions from information you give it: hours, address, services, how booking works
- Take a message and send it to you with the caller's name, number and reason
- Book or request an appointment in your calendar
- Route a call or chat to the right person when it is something it should not answer
- Send you a short summary of each conversation
It is software that follows your rules. Behind most of these tools sits a language model, which is why the wording sounds natural. That is also why it can get things wrong if it is not given clear limits. We explain the difference in AI agent vs chatbot vs automation.
What can it not do?
It cannot judge. It does not know that the caller who says "it's fine, just checking" is actually angry. It cannot decide to give a regular customer a discount, handle a complaint with empathy or deal with a situation your instructions never covered.
Three limits matter most:
- Upset or distressed callers. They want a person. Make the handover instant and obvious.
- Anything with legal, medical or money consequences. It should take details and pass them on, not give advice.
- Questions outside what you told it. A well-set assistant says "I don't know, let me get someone" instead of guessing. A badly set one makes something up. This is called a hallucination; our glossary entry explains it.
Should it answer the phone, WhatsApp or website chat?
Start where your missed enquiries actually are. Look at your last month: how many calls went unanswered, and how many messages sat unread overnight?
| Channel | Good for | Watch out for | Our view |
|---|---|---|---|
| Phone (voice) | Businesses whose customers call: trades, clinics, property, salons | Accents, noise, callers who talk over it, harder to test | Worth it when missed calls clearly cost you work |
| Markets where people message first, like India and the UAE | Needs a business account and approved message templates for outbound | The easiest place to start | |
| Website chat | Visitors with a quick question before they enquire | Only helps people already on your site | Good as a second step |
Chat is simpler to build and test than voice. A chatbot can be live sooner and you can read every exchange as text. Voice is harder, so we scope it separately and test it on real call types first. If most of your leads phone you, voice is still the right choice. It just needs more care.
Which tasks should you hand over and which should you keep?
Use this grid. If a task is repeatable, low risk and already written down, hand it over. If it needs trust, judgement or an exception, keep it.
| Task | Hand over | Keep | Why |
|---|---|---|---|
| Opening hours, address, directions | Yes | Same answer every time | |
| "Do you do X?" for listed services | Yes | Answer comes from your own list | |
| Taking a name, number and reason | Yes | Pure data capture | |
| Booking a standard appointment | Yes | Rules are clear and the calendar decides | |
| Quoting a custom price | Yes | Needs your judgement | |
| Complaints and refunds | Yes | Needs a human and a decision | |
| Repeat customers and key accounts | Yes | Relationship matters more than speed | |
| Urgent or safety-related calls | Yes | Transfer to a person at once | |
| Sales calls and cold callers | Yes | Screen and log, then ignore |
What is the handover rule?
The handover rule is the list of situations where the assistant stops and a person takes over, and it is the most important thing you will write. Decide it before anything else.
A good rule has three parts. First, clear triggers: the caller asks for a person, sounds upset, mentions a complaint, or asks about anything you have marked as human only. Second, a clear action: transfer the call, or send you a message that says who called, what they said and how to reach them. Third, a clear promise to the caller, such as "Someone will call you back before noon." Never leave a caller stuck in a loop with a machine.
If you are not sure whether to hand something over, hand it over. You can always loosen the rule later after reading real conversations.
What does an AI receptionist cost?
The cost has a few parts, and what you pay depends on which of them your setup uses:
| Cost driver | What it means | How it behaves |
|---|---|---|
| Setup | Writing the call flow, connecting your number and calendar, testing | One-off, scales with how many cases it handles |
| Call minutes | The phone line and the minutes of conversation | Grows with call volume |
| Voice and AI provider | The speech and language models that run behind the scenes | Billed by usage, usually to your own account |
| Integrations | Calendar, CRM, inbox, spreadsheet | Simple ones are cheap, tangled ones are not |
| Upkeep | Reading logs, fixing wording, updating answers | Ongoing, and often skipped |
We do not quote a market price here, because providers charge in different ways and we could not verify a fair average. Our own starting prices for AI automation are on our pricing page, and voice is quoted separately after a call because it depends on your volume and tools. Prices are agreed in writing first and do not change after.
The cost that gets forgotten is upkeep. Someone has to read the logs. If nobody will, the assistant slowly goes out of date.
How do you test an AI receptionist before trusting it?
Test it like you would test a new hire, with awkward cases and not just the easy ones. Before it answers a real customer:
- Ring it yourself ten times with ordinary questions and check every answer against your own facts.
- Ask something it should not know and see whether it admits that.
- Say you are upset and want a person. Check how fast the handover happens.
- Interrupt it, mumble, use a different accent, call from a noisy place.
- Book an appointment, then check it landed in the right slot with the right details.
- Ask someone who has never heard of your business to try it and tell you how it felt.
- Read the logs and the summaries it sends you. Are they accurate and useful?
Then run it on after-hours calls only for a few weeks. Read what it did each week. Widen its job only when the logs look boring in a good way. We also suggest a short line at the start of each call that tells callers they are talking to an automated assistant.

Frequently asked questions
Will callers know they are speaking to an AI?
Often yes, and we think they should be told. A short line at the start such as "You've reached [business], I'm an automated assistant" builds more trust than pretending. Rules on disclosure vary by country, so check yours before you go live.
What happens if the AI receptionist does not understand someone?
It should say so, ask once more, and then pass the call or leave a clear message for you. It should never guess and carry on. Test this on purpose with mumbled or off-topic requests before launch.
Is a virtual receptionist the same as an AI receptionist?
Not always. A virtual receptionist is usually a human team answering calls remotely on your behalf. An AI receptionist is software doing the answering. Some providers mix both, with software first and a person for anything complicated.
Can it keep my existing phone number?
Usually yes, by forwarding calls to the assistant's line when you do not answer or after hours. The details depend on your phone provider, so ask before you commit.
How quickly can a small business have an AI receptionist running?
A chat assistant on WhatsApp or your website can often be live within a few weeks. Voice takes longer because of the extra testing. We give a timeline in writing after the first call.
