WhatsApp Business API: meaning and definition

The WhatsApp Business API is Meta's connection that lets your own software, such as a chatbot or CRM, send and receive WhatsApp messages for your business.

The WhatsApp Business API is Meta's way for software to send and receive WhatsApp messages on behalf of a business. Meta now calls it the WhatsApp Business Platform, and most businesses use its Cloud API, either directly or through a provider such as Twilio. It has no chat screen of its own: you connect it to a chatbot, CRM, helpdesk or booking system.

Why it matters for your business

If customers already message you on WhatsApp, the API lets that inbox grow beyond one phone: automated replies, several staff on one number, order and appointment alerts, CRM logging. The free WhatsApp Business app is fine for answering by hand; the API is for when software takes part. Its rules shape what you can send and what it costs.

The rules that shape every build

RuleWhat it meansSource
24-hour customer service windowAfter a customer messages you, you can reply freely for 24 hours; each new message resets the timerMeta pricing docs
Templates outside the windowMessages you start must use a template with "APPROVED" status, categorised as marketing, utility or authenticationMeta template docs
Opt-inCustomers must clearly agree to hear from you, and the opt-in must name your businessMeta opt-in docs
Per-message pricingMeta charges per delivered message by category; customer messages to you are not chargedMeta pricing docs

Pricing changed recently. As of October 2026, Meta's pricing page says each business number gets 1,000 free service messages a month, with charges beyond that from 1 October 2026, and that utility templates sent inside an open window are now billed. Rates vary by country, so check the page before you budget.

One more policy point: in October 2025 Meta changed its terms to bar general-purpose AI assistants from the platform, as TechCrunch reported, while bots that support a business's own customers were not the target. Read the current terms before you build anything AI-led.

An example

A dental clinic connects the API to its booking system. When a patient books online, a utility template confirms the slot. The day before, a reminder template goes out with "Confirm" and "Reschedule" buttons. If the patient replies with a question, the window opens and a chatbot or the front desk can answer freely, all on the clinic's one number.

How to use it

Decide first what you will send and to whom, then collect opt-in at every point customers give you their number. Draft your templates early, since each one needs approval. Choose direct Cloud API or a provider based on whether you also need SMS or voice. The Twilio WhatsApp API post compares the two routes, and our WhatsApp chatbot service handles setup, templates and the bot itself.

Frequently asked questions

Is the WhatsApp Business API free?

No. Meta charges per delivered message by category, and providers or developers charge for their part. Check Meta's pricing page for current rates in your country.

Can I use my existing WhatsApp number with the API?

Often yes, but moving a number changes how it is managed. Confirm Meta's current onboarding steps before you switch.

Do I need a developer to use the API?

Usually. Someone has to connect it to your chatbot, CRM or booking system and handle webhooks. Some providers offer ready-made inboxes that reduce the work.
